    Field Trip Transportation Guidelines

    All field trips are scheduled through TripTracker, our online field trip request system designed to streamline the planning process.

    To ensure smooth scheduling, please follow these guidelines:

    • Trip Hours: All field trips during the school day must take place between 9:15 AM and 2:20 PM.

    • Special Requests: For trips outside these hours, please contact the Transportation Department directly to discuss possible accommodations.

    • Approval & Roster: All educational trips must be approved by your building administrator. A student roster (in Excel or Google Sheet format) must be uploaded with your request.

    • Incentive Trips: These are considered non-educational and should be marked as billable in the system.

    • Timing: Trips should be submitted at least three weeks in advance to allow for administrative approval and driver scheduling.

    • End-of-Year Planning: May is our busiest month for field trips. Please submit any end-of-year trip requests as early as possible to secure your preferred dates.

    • Bus Capacity:

      • Elementary buses seat up to 68 students

      • Middle and high school buses seat up to 55 students

    • Special Instructions: Be sure to include any specific needs, such as wheelchair-accessible buses, safety vests, or car seats.
